Cancellation and Missed Appointment Policy

 
  • Our goal is to provide quality health care to all our patients in a timely manner. No-shows and late cancellations inconvenience not only our providers, but our other patients as well. We kindly ask for your understanding that we are an appointment-based clinic and we value our time just as much as yours.

    If our providers are running late with appointments, we endeavour to inform you ahead of time on the same day. In the event of unforeseen emergencies pertaining to health and safety of patients, providers and/or safety of the premise, resulting in the cancellation of appointments or providers unable to provide services, there will not be a missed appointment fee charged.

    Please be aware of our policy regarding missed appointments and late cancellations.

  • When you book your appointment, you are holding a spot on our schedule that is no longer available to our other patients. In order to be respectful of your fellow patients, please contact the clinic as soon as you know you will not be able to make your appointment.

    If cancellation is necessary, we require that you contact us with 48 hours notice. Appointments are in high demand, and your advanced notice will allow another patient access to that appointment time and receive the service they require.

    A one-time missed appointment/late cancellation fee waiver is allowed per patient, and in such instances, the patient will be reminded of our clinic’s cancellation and missed appointment policy.

    Upon confirmation of appointment, the patient agrees to the terms and conditions set out in our Cancellation and Missed Appointment Policy.

    How to Cancel Your Appointment

    If you need to cancel your appointment, please call us at 0433 264 985 during business hours. If we are unable to take your call, you may leave a detailed voicemail message. Alternatively, you are welcome to SMS us at the number provided above or cancel via the link in your appointment confirmation and reminder emails.

  • A cancellation is considered late when the appointment is cancelled less than 48 hours before the appointed time. Cancellations within 24 hours of appointment time with a valid reason may be waived at the discretion of the provider (eg. illness, emergency). A no-show (missed appointment) is when a patient misses an appointment without cancelling. In either case of late cancellation or no-show, we will charge the patient a 50% missed appointment fee.

    For new patients’ first appointments, a no-show or late cancellation may incur a full charge of the new patient fee. We do not hold a deposit when booking Initial Consultations, however, it is expected that any outstanding missed appointment fee be cleared before the new patient is allowed to rebook a future appointment.

  • The full fee for the service booked will be charged even though you arrived at your appointment late.

    There is a time frame whereby the provider may be able to see you if you arrive with sufficient time to spare.

    Chiropractic Consultations: at least 15 minutes of appointment time left.

    Remedial Massage/Myotherapy Consultations: at least 20 minutes of appointment time left.

    Please be advised due to the necessity of turning over the treatment table with clean linens and sanitisation of the treatment surfaces especially for Remedial Massage, providers may require a few minutes at the end of treatment time to do so.
